Planning for Town Festival and other events
Car show is scheduled for 10/6 – Saturday
Town Festival – 10/6
Susan - Propose to have the town festival on the same weekend as Car Show, Amended to be flexible about the schedule based on conversations with involved parties. Chelle – seconded, passed
Library book sale
Barbecue, face painting, Vendors area at Hoisington Field – businesses, flea market, sun common,
Fire Department yard sale
W. Weathersfield did burgers and such at Hoisington Field

Library Festival – 7/28 at Center Meeting House

Plan to catalogue the inventory of Parks and Recreation.
Library to track and sign out
Need legal waiver of liability
Can track use of equipment with scanning
Plan to maintain inventory at library in the future, but all will be left in the Hoisington Field shed
Inflatable projection screen – for community, outdoor movie events
16 vs. 18 foot inflatable screen – may cost over 300 dollars
May take donations, sell food, but may not charge for the movie
Library has a license through the state for indoor viewing. Need to inquire about promotional materials.
Swank – is the preferred company
Outdoor venue, anticipated audience size, title of movie, 1st crowd tier under 250 people, licensing fee of $285 – $425.
Plan for $350/show – license for 3 movies.
Will see about borrowing the screen and projector offered by BJ Esty.
To discuss the possibility of rain dates. Further information required.
Easter Egg hunt – great collaborative efforts and strong community participation
Assistance from PTA and many groups
New latch, lock and keys for the inventory shed at Hoisington Field
Need to keep a schedule of who has keys.
Three-town outdoor recreation promotion
o Need to coordinate in branding our services and such
o Town seal to be sent to Chelle; Chelle will check letterhead and explore options for Parks and Rec symbols and promotion
o Rutland through Killington – branded recreation in the area for collaborative promotion
o Considering a regional hub – possibly Ascutney Outdoors
o Ascutney area sustainability collaborative is a functioning group with some funds and an organized group that includes the tri town group plus Cavendish.
Horse Shoe Tournament - Reading Town is interested – Chelle will coordinate and communicate
o Consider a town challenge trophy – consider a gauntlet that has the towns competing with each other. Town horse show challenge
o West Windsor, Windsor, Reading, Weathersfield, Cavendish
o Recruit teams from each town, fire departments, community response
o Limit to 36 teams
o May merge this within the Town Festival
o Need to search out rules, tournament planning, pit construction
o Plan on two pits – see about borrowing additional equipment
Hikes being set up with Steve Aikenhead
Probably offering ten hikes this year, participants need to register in advance as space is limited
Checking with Bill Brink about music at Stoughton Pond – at the picnic shelters
o Hikes are advertised in the Message and Steve has an e-mail distribution list
o Level of difficulty is posted to prepare
o All organized hikes have a leader and are coordinated
o Historical hike in the flood plain
o Question for town forest trails and such – maintenance of trails in the flood plain
